Exhibitor Terms & Conditions 2024

The Art on the Prom is an outdoor event promoting artists and artisan makers from across east Anglia which takes place on Sunday the 1st of September along the promenade in Felixstowe, Suffolk. The exhibition will be open from 10am to 6pm.

Pitches consist of 330cm x 180cm Heras fence panels which are set-up in pairs and are available for traders as half fence panels (£75), single fence panels (£145), double fence panels (£280) or Gazebo pitches (£135) where participants supply and set-up their own professional gazebos on grass areas facing the promenade.

Gazebo pitches will be allocated in a specific grass area as close to the prom as possible (location TBC) and artists/traders who book a gazebo pitch must provide a strong professional gazebo designed for events which is attached to the ground, a health and safety assessment and appropriate PLI insurance. Traders who do not comply with these requirements will not be able to take part in the event.

Pitch prices include panel hire, a listing on the website, and a social media post promoting the artist or trader for each pitch purchased. Prices also include event organisation, staff and marketing costs. 

In order to be promoted though our campaign artists/traders must submit at least one usable photo of their work with the application. Some artists will also be chosen to be included in the poster and in the press release. By submitting images as part of the application, artists and traders permit these images to be used for the promotion of the event on websites, social media and press releases.

Panels will be set-up ready for participants who arrive prior to the event between 7am and 9am, ready for trading at 10am. Take-down will be after 6pm and all artists/traders will be off site by 7.30pm. By applying to take part in the 2024 event applicants agree to be ready at 10am and to stay open to trade until 6pm.

Participating artists/traders are allowed to decorate the panels as the wish and can bring tables, print stands, chairs and any other furniture required and are fully responsible for set-up and take-down. All fixings must be removed prior to departure. 

Participating artists/traders must remove all rubbish, packaging and leave the area completely clean and clear prior to departure.

Pitches must be paid for at time of booking. Please be aware that we operate a no refunds policy except in circumstances where a decision is made to cancel the event due to lack of applications or sponsorship which renders the event not viable. In this case refunds will be given and will be subject to a £5 administration fee per booking. Please note small card payment ‘booking fee’ taken by our third party payment system are non-refundable.

Participating artists MUST provide proof of Public Liability Insurance prior to the event and will not be able to trade if this is not in place. To obtain Public Liability Insurance Art on the Prom recommends that you make use of the free insurance that comes as part of Artists Network membership which is an annual fee of £38. Insurance documents must be sent to Iona at felixstoweartontheprom@gmail.com no later than August the 23rd 2023. Please also bring a printed version of your insurance to the event in case of council inspection.

Traders are personally liable for their individual stalls. Stallholders will not hold Art on the Prom liable for any damage, loss, theft or injury incurred while participating in the market. If you wish to insure your artwork against theft or damage please make sure you arrange this privately.

Art on the Prom does not provide cancellation insurance or refunds in the case of adverse weather or extenuating circumstances.

By paying for the stall all participating artists agree to attend the event, agree to read and adhere to the event’s Terms and Conditions and H&S Policy

Artists who do not meet the selection criteria and curatorial style will be informed and will receive a refund but the small card payment ‘booking fee’ will unfortunately not be refundable.

PERMITTED ARTS AND CRAFTS

Listings of Artwork require to meet the following criteria to be permitted (“Permitted Artworks”) by Art on the Prom for sale on the Prom

  • Handmade items. Mass produced items will not be considered.
  • Original paintings, illustrations, drawings, photography and prints
  • Sculpture, pottery and jewellery 
  • Clothes and textiles
  • Artisan crafts
  • Artisan food and drink items (sold cold or packaged)

CURATORIAL STYLE AND ACCEPTANCE OF APPLICATIONS

We receive a large amount of applications all applications are reviewed by a Selection Committee to ensure the authenticity of work in support of the integrity of artists and trader applicants. In the unlikely event that your application is deemed unsuitable or not fitting within the curatorial style of the exhibition, we will inform you and return your application fee without charge. The Selection Committee’s decision is final and shall be exercised at our sole discretion. We will endeavour to confirm all artists applications as soon as possible after they have been received.

The organisers reserve the right to halt sales and/or remove work from the show that is not in compliance with the exhibition’s requirements.

ACCESS NEEDS

Applicants who have access issues or holders of Disabled Badges may have accompanied vehicular access to the Prom at 7am. Please contact felixstoweartontheprom@gmail.com to discuss access needs.
